Step 1 · School

School Identity & Branding

Tell ZamSkools who your school is — this drives your logo, colours and every report card.

School name & motto — the name that appears across the app and on documents
Logo & brand colours — PNG or JPG up to 5 MB, plus a primary and secondary colour
Contact details — school email, phone, website and curriculum type
Location — physical address, province and district
Headteacher — name and signature — these print on report cards
Report settings — footer text, and whether the logo shows on every document

Tip: Everything here can be changed later under Settings → School Profile — nothing is permanent.

Step 2 · Levels

Education Levels

Choose the levels your school offers, based on the 2023 Zambia Curriculum (3-6-4-2 structure).

All levels at once — one toggle to offer ECE through A-Level
…or pick individually — ECE (3 yrs), Primary (Grades 1-6), O-Level (Forms 1-4), A-Level (Forms 5-6)
This choice cascades — the levels you select decide which grades, subjects and classes appear in the next steps

Tip: Select only the levels you actually run. You can add another level later without redoing setup.

Step 3 · Subjects

Subjects

Pick the subjects you teach from the full Zambian catalogue — already grouped and tagged.

46 subjects by category — Core, Languages, Sciences, Humanities, Business, Arts, Technology and more
Clear tags — each subject shows its code, whether it is Compulsory, and the level it belongs to
Quick-select — one click adds the recommended set for Primary, O-Level or A-Level
Search — type to find any subject instantly

Tip: Compulsory subjects are added automatically to matching classes, so you rarely have to assign them by hand.

Step 4 · Classes

Classes & Sections

Create the classes your pupils sit in — grouped by the levels you chose.

Sections per grade — choose how many streams each grade or form has
Name your sections — A, B, C… — the first grade's names auto-fill down the level
Class size — set the maximum students per section
At least one per grade — every grade in a selected level needs at least one class

Tip: Section names flow downward within a level, so setting Grade 1 once saves you repeating it for Grades 2-6.

Step 5 · Year

Academic Year

Set up the calendar your terms, exams and reports all run against.

Adopt the system calendar — use a ready-made Zambian academic year and terms
…or build a custom one — define your own year with your own term dates
Becomes your current year — this is the active year the whole app works within

Tip: You can add or switch academic years at any time later — this just sets your starting point.

Step 6 · Exams

Exams & Grading

Define how assessment and grading work — separately for each level.

Assessment type — Continuous Assessment (weighted tests) or a single end-of-term test
Tests & weighting — how many per term and the split (e.g. Mid-Term 50% / End-of-Term 50%)
Grading scale — the Zambian Ministry standard (A+ to F) or a custom scale of your own
Pass & maximum marks — the passing threshold and the mark papers are out of
Report cards — choose the format (Auto matches each pupil's level) and the layout style

Tip: What you set here is exactly what drives your report cards and term-result averages, so it is worth getting right.

Step 7 · Finish

Graduation & Finish

Mark your graduating classes, set the pass rules, and complete setup.

Examination classes — choose which grades or forms are graduating (exam) classes
Graduation criteria — minimum subjects to pass, minimum average %, and whether all subjects must be passed
Automatic graduation — optionally graduate pupils automatically once they meet the criteria at year-end
Complete Setup — press the button — you land straight on your dashboard

Tip: Done! Every setting stays editable under Settings, and any step you skipped can be finished later.
